Privacy & Confidentiality
Haynes Business Services takes your privacy seriously. All personal, financial, and tax-related information is kept strictly confidential. We do not sell, share, or distribute your information to third parties. Information is only used for the purpose of providing tax, payroll, accounting, and business services.
Any documents uploaded through our secure portal are encrypted and stored in accordance with federal and state data protection guidelines.
Document Handling & Security
To safeguard your information, we verify client identity before releasing any documents or sensitive details. All electronic files are held on secure systems and accessible only to authorized Haynes Business Services team members.
We strongly encourage all clients to use our secure upload portal for submitting tax documents and sensitive materials.
Payment Policy
Payment for services is due upon completion unless an alternative arrangement has been approved in advance. Accepted forms of payment include major credit cards, debit cards, checks, and money orders.
Because tax preparation requires time and expertise, all tax preparation fees are non-refundable once the service has been performed.
Accuracy of Information
Clients are responsible for providing complete and accurate information for tax returns, payroll services, and accounting work. Haynes Business Services prepares reports and filings based solely on the information provided.
Before any return or document is filed, clients must review and approve the information. Haynes Business Services is not responsible for errors due to missing or inaccurate client-provided data.
Appointment & Scheduling Policy
We ask that clients reschedule appointments at least 24 hours in advance when possible. During peak tax season, missed appointments may result in delays in return preparation.
Walk-ins are welcome when available, but appointments are strongly recommended to ensure prompt service.
Record Retention
Haynes Business Services maintains copies of prepared tax returns for a minimum of seven (7) years. Clients are responsible for keeping their own original documents, receipts, and supporting paperwork.
Electronic Communication Consent
By contacting our office or submitting information electronically, you consent to receiving communication via email, phone, or secure messaging. Sensitive documents should only be submitted through our secure upload system.

Client Responsibilities
- Provide complete and accurate financial information.
- Submit required documents in a timely manner.
- Review all prepared returns before signing.
- Keep personal records and original documents.
- Notify HBS of any life or business changes affecting taxes.
- Ensure estimated tax payments are made when required.
- Respond promptly to requests for additional information.
HBS Responsibilities
- Prepare accurate tax returns based on provided information.
- Maintain confidentiality & protect client data.
- File returns promptly once approved by the client.
- Provide professional guidance and answer questions.
- Retain copies of tax returns for seven (7) years.
- Verify identity before releasing sensitive information.
- Use secure systems for document handling and communication.
